Dear Members,

Here is a recap of the three main items to be voted upon at our Annual Meeting on November 30, 2011 at about 1:30 PM immediately following lunch. 

1.  Election of Directors

There are four (4) Director seats open on the Board which, if filled, will take us to our maximum of nine.

There are four candidates seeking election or re-election to the Board.  They are as follows: Rosalie Ayala - Noftsger Hill Inn, Dawn Delaney - Prescott Pines Inn, Craig Guderian - Heritage Inn and Paul Hedger - Indian Hill B&B.

Using the enclosed Ballot please cast your votes for the candidates.  Each member inn may cast up to a maximum of four votes but may distribute those votes howsoever they choose amongst the candidates. 

2.  Closures

Using the enclosed Ballot please cast your vote either "Yes" or "No" for the change proposed by the Board to the Standard (I.A.) dealing with closures

I. Management

A. The facility must operate primarily as a bed & breakfast inn and be open for the majority of each calendar year.

1.  Short-term closures such as for maintenance or vacations are acceptable.

2.  Seasonal closures are acceptable.

3.  Gift Certificate Program

Using the enclosed Ballot please cast your vote either "Yes" or "No" for the new Standard (I.E.4.) proposed by the Board for our Gift Certificate Program.

I.E.4. Member inns must participate in an AABBI Gift Certificate Program, the key features of which are summarized in Attachment A. attached hereto, and provided always that no material changes are made to the key features of Attachment A. without the changes first being adopted by the Active Members at any annual or special meeting called for such purpose in the manner provided herein.

Attachment A.

AABBI Gift Certificate Program

General Information

• The program will be administered by the AABBI Administrator and will be provided exclusively for the benefit of AABBI’s members.
• Active member inns redeeming gift certificates will be paid an amount equal to the full face value of the certificates.
• Former member inns redeeming gift certificates pursuant to reservations made while still active members will be paid the full face value of the certificates.
•  AABBI will bear all processing, shipping and handling fees.
• Proceeds from gift certificate purchases will be reserved for redemptions until the expiration date.  Upon the expiration date the proceeds will be transferred to the AABBI general fund.

Gift Certificates

• Gift Certificates are available for purchase on-line at www.arizona-bed-breakfast.com.
• Gift Certificates may be purchased for any amount subject to a $50 minimum.
• AABBI will take all reasonable precautions to protect against fraud, e.g. distinctive certificate design, serial numbers, expiry dates, no cash value, purchaser name, etc.
• AABBI will maintain detailed records for all gift certificates purchased including redemptions and payments to member inns.
• Gift Certificates are valid only at inns that are active members of AABBI at the time the reservation is made.
• Reservations made with AABBI Gift Certificates will be subject to the inn’s standard policies.

Procedures for Member Inns

• Purchasers will be instructed to inform the inn that they will be using a gift certificate at the time the reservation is made.
• The Inn must contact the AABBI administrator and provide:
  • Certificate serial number
  • Amount of the certificate
  • Reservation dates
  • Purchaser of the gift certificate
  • Name of the person that will be using the gift certificate
• The innkeeper will collect the original gift certificate when the guest arrives at the inn and mail it to AABBI.
• AABBI will promptly mail a check to the member inn for the value of the Gift Certificate.
